Wording pending legal review · Draft 1, October 2026

Privacy policy

This explains what we collect, why, and who can see it. The short version: your record is private until you decide otherwise.

NoteDraft text, pending legal review. The product behaves as described here.

What we collect

The details you give us (name, email, city, country, languages, roles, objectives). What you capture: voice notes, typed notes, transcripts, entries and Vault items. What you choose to share: Passport content, Circle contacts, endorsements, Floor posts. Basic technical data needed to run the service, such as device type and error reports, and first-party usage counts.

Why we use it

To run the product for you: sort your notes, keep your record, show your Passport, send the messages you ask for, and keep the service safe. We do not sell your data. We do not use your private record to advertise to you.

Who can see it

Only you can see your private record. Managers on a company plan see general information only: name, photo, role and team. Anything more is shared only when you say so, item by item, and you can stop sharing at any time. Public Passport pages show only what you made public and stay out of search engines unless you allow them.

AI and service providers

We use Claude, an AI model from Anthropic, to turn your notes into drafts, and speech services to transcribe voice notes. Audio is deleted after 24 hours. We use providers for hosting, email and payments. They process data for us under contract and for no other purpose.

Other people's details

People in your Circle are added only when they opt in, with a second confirmation, and can withdraw at any time. Entries are written so names, companies and amounts come out before anything becomes portable.

How long we keep it

Your data stays while your account is open. If you delete your account, there is a 14-day cooling-off period you can cancel, then your data is erased. Raw call audio is kept for 24 hours.

Your rights

You can see, correct, export and delete your data from Settings and privacy. People who are not members can ask what we hold about them using the public data request form. Depending on where you live you may also have the right to object to or restrict processing and to complain to your data protection authority.

Security

Data is encrypted in transit and at rest, access is limited and logged, and support staff see account facts and counts only, never your content.

Children

GrwndWork is for adults. We do not knowingly collect data from anyone under 18.
